Privacy Policy

Effective: November 1, 2026

Dawn Apostille & Notary ("I," "me") operates dawnapostilles.com and provides apostille, notary and translation services from Bristol, Virginia. I handle personal documents, and I treat your information with care. This policy explains what I collect, how I use it and how I protect it. By using my website or services, you agree to the practices described here.

What I Collect

  • Contact details: name, email, phone and shipping addresses
  • Order details: document types, destination country and the receiving agency's requirements
  • Photos or scans you upload for review and quoting
  • Original documents you mail to me for an apostille order
  • Payment information, processed by Stripe and Zelle. I don't store full card numbers.

Identification and Notarial Records
To complete a notarization, I collect identification details, such as the type and number of your government-issued ID, details about the document being notarized, and your signature, and I record them in my notary journal as Virginia law requires. For remote online notarizations, my platform also collects identity verification and credential analysis results, the audio and video recording of the session, and related logs, such as timestamps.

Website Information
When you visit my website, basic technical information, such as your browser, device and pages visited, may be collected through cookies and analytics tools like [Google Analytics]. You can control cookies through your browser settings, though turning them off may affect how parts of the site work.

How I Use It
To review your documents, prepare quotes, complete and ship your order, perform notarizations, schedule appointments, process payments, and keep you updated. These are service messages, not marketing. I don't send marketing messages unless you separately sign up for them.

Who I Share It With
I don't sell, rent or trade your personal information, and I don't share it for targeted advertising. I share it only as needed to complete your order:

  • Government offices that issue apostilles
  • Shipping carriers and shipping platforms, for labels and tracking
  • My translation partner, only if you order a translation
  • My remote online notarization platform, NotaryHub, for identity verification and the recorded session
  • Service providers that run my website, forms, scheduling and payments, such as Moxie, Stripe and Zelle.

These providers are expected to protect your information and use it only to provide their services. I may also disclose information if the law requires it, for a legal proceeding, or to protect my legal rights.

Text Messages
I send texts about your order only if you opt in. Message frequency varies, and message and data rates may apply. Reply STOP to opt out, START to opt back in, or HELP for help. Your mobile number and text consent are never shared with third parties for marketing.

How Long I Keep It

A. Notary journal entries and remote online notarization recordings are kept for the 5-year period Virginia law requires.

B. Digital copies of your documents are deleted within 10 days after your order is complete.

C. Basic order records (name, order details and tracking numbers) are kept for business and tax purposes.

D. Original documents are returned to you or your chosen recipient. I don't keep them.

Your Choices
Depending on your state, you may have the right to access, correct or delete your personal information. You can ask me to update or delete your information at any time, except where I'm required to keep it, such as notary records or tax records.

Children's Privacy
My website and services are not directed at children under 13, and I don't knowingly collect their personal information. If you believe I have, please contact me and I'll delete it.

Changes to This Policy
I may update this policy from time to time and will change the effective date at the top when I do.
